
The Bureau keeps record of incoming and outgoing correspondence as well as in-house archives.
Detailed rules of correspondence records are specified in the Chancellery Instruction of the Bureau of the Inspector General for Personal Data Protection constituting appendix no. 1 to the Regulation No. 9/2000 of 22 August 2000 by the Inspector General for Personal Data Protection as regards implementation for official use of the Chancellery Instruction, subject file index and instruction on the organisation and scope of operation of in-house archives in the Bureau of the Inspector General for Personal Data Protection.
The instruction on the scope of operation of in-house archives sets forth among others principles of disclosing documentation from the archives. According to its provisions, documentation stored in the in-house archives shall be used pursuant to the provisions of:
- the Act of 22 January 1999 on classified information protection (Journal of Laws No. 11, item 95 with amendments), - the Act of 26 January 1984 Press law (Journal of Laws No. 5, item 24 with amendments), - the Regulation by the Council of Ministers of 8 January 2002 as regards organisation and tasks of press spokesmen in government administration authorities (Journal of Laws. 2002 No. 4 item 36).
Documentation shall be disclosed for the purposes other than official ones with the consent of the Director of the Bureau. Using of documentation kept in the in-house archives by external institutions and private persons demands each time the consent of the Director of the Bureau.
